OFFICE ADMINISTRATOR

Reporting to the Head: Business Development, the Office Administrator is responsible for performing secretarial work and general administrative support required for efficient and smooth operations in the department and by assisting with the coordination of the activities of the departmental units.

KEY PERFORMANCE AREAS

§  Arrange internal and external appointments for the Head: Business Development, sending the necessary notification and organizing all relevant administrative aspects.

§  Consult with Head: Business Development on a regular basis and manage the diary and coordinate planned activities accordingly.

§  Receive and direct phone calls, assessing their priority and taking messages as required and receive visitors, assess their needs and direct them accordingly.

§  Coordinate all travel and logistical arrangements for the department by communicating the travel requirements of the Department to the Finance Administrator and preparing travel payment requisitions and S&T forms, etc.

§  Draft, prepare and type standard letters, general communication and correspondence.

§  Liaise with Human Capital to perform basic verifications on HC matters (e.g. Leave applications, S&T forms, etc.).

§  Compose, draft and prepare presentations, spreadsheets and other reports as required.

§  Coordinate and arrange meetings and events, including the preparation of agendas, binding relevant information packs, arranging venues and taking minutes during the meetings.

§  Assist the Head: Business Development in preparing for meetings, doing basic research, and organising and proofreading documents.

§  Conduct basic research by contacting relevant people, gathering company background information and screening relevant information.

§  Liaise closely with departmental units to follow up on outstanding information, documents or reports as and when required.

§  Maintain a sound departmental database by ensuring the completeness, accuracy and availability of relevant departmental correspondence, minutes and other relevant documentation and ensuring confidentiality and sound safekeeping.

§  Coordinate the procurement process of departmental expenses, including the request for quotations, preparation of purchase orders and the finalisation and payment of purchases.

EDUCATION, EXPERIENCE AND SKILLS

§  Degree in Commerce / Business Management / Business Administration.

§  A minimum of 3 years’ work experience in office administration at an executive level.

§  Sound verbal and written communication skills.

§  Sound customer orientation / focus.

§  Planning and organization skills.

§  A proactive and innovative approach to work and problem-solving.

§  Interpersonal sensitivity.

§  Effective team worker.

§  Attention to detail.
